Spring Fair general volunteer option

  • Lead Coordinator (Event Chair)
    • Oversees all committees and planning activities
    • Sets meeting schedule and ensures communication between leads
    • Arrange volunteers from Alpha Secondary School
    • Arrange parent volunteers
    • Work with each committee to fulfill volunteer needs
  • Fundraising/Sponsorship Committee
    • Creates fundraising documents
    • Contact previous sponsors
    • Create signage and marketing materials
  • Finance/Budget Committee
    • Develop and track the event budget
    • Process payments, reimbursements, and vendor fees
    • Maintain accurate financial records
    • Prepare post-event financial report
    • Overseeing sales tables and Square access
  • Games/Prizes Committee
    • Contact rental company for fair games and handle contract 
    • Determine which council owned games will be used
    • Purchase prizes for gameplay
  • Inflatable and Tent Rentals
    • Contact rental companies and handle contracts 
    • Oversee day of set up
    • Work with Fundraiser/Sponsorship to coordinate signage at each inflatable 
  • Food Truck Coordinator
    • Contact vendors
    • Ensure minimum spend can be met
    • Oversee day of set up

  • Concession Committee
    • Arrange food and drink purchases
    • Set up concession area

    • Purchase blow up toys for sale

    • Organize/collect donations
